At SN Digital Hub (“SNDH”, “we”, “us”, or “our”), we provide website design, hosting, domain, SSL, technical support and other digital services to our clients.
Some of these services are provided for a fixed validity period and require renewal after their respective validity expires.
This Renewal Policy explains which services may require renewal, how we communicate upcoming renewals, what happens when a renewal is not completed on time, and the responsibilities of both SN Digital Hub and the client.
1. Website Development Charges & Renewal Charges Are Different
The website development/design fee paid by a client is generally a one-time project/service charge, unless otherwise stated in the quotation, invoice or service agreement.
However, certain services required to keep a website online and operational may have a recurring validity and may require renewal.
These may include:
Domain name registration
Web hosting / server space
SSL certificate, where applicable
Premium themes, plugins, software or third-party tools, where applicable
Technical support or maintenance plans, where applicable
Other third-party services specifically included in the client’s package
Therefore, payment made for website development does not automatically mean that domain, hosting and other recurring services will remain active permanently.
The applicable validity and renewal terms are communicated to the client through the quotation, invoice, package details, order confirmation or other service communication.
2. Hosting / Web Space Renewal
Depending on the website package purchased by the client, SN Digital Hub may provide hosting/web space for a specified period and with specified resource limits.
For example, a package may include:
10 GB hosting/storage
50 GB monthly bandwidth
SSL
Technical support
Other resources specifically mentioned in the package
The exact resources included in a client’s package will depend on the package purchased and the terms communicated at the time of purchase.
Hosting renewal is required after the applicable validity period expires.
Renewal keeps the hosting/web space and related services active for the next applicable period.
3. Hosting Storage & Bandwidth Limits
Every hosting package has defined technical resources and limitations.
These may include:
Storage/web space
Bandwidth/data transfer
Database resources
CPU/RAM/resource usage
Number of websites
Email/storage limits
Other server or hosting restrictions
For example, if a client’s package includes 10 GB storage and 50 GB bandwidth, the website is expected to operate within those limits.
If the website exceeds the allocated resources, the website or some of its functions may become slow, restricted or temporarily unavailable depending on the hosting environment and provider’s policies.
Resource Limit Exceeded
If a website becomes unavailable because the allocated hosting/storage/bandwidth/resource limit has been exhausted, such an incident will not be treated as a technical fault of SN Digital Hub.
In such circumstances, the client may be required to:
Upgrade the existing hosting plan;
Purchase additional resources;
Reduce/optimize website resources; or
Move to a suitable higher hosting plan.
Any applicable upgrade or additional resource charges will be communicated separately.
4. SSL Certificate
Where SSL is included in the client’s website package, SN Digital Hub may provide or manage the SSL certificate for the applicable service period.
SSL validity may depend on the SSL provider, certificate type and hosting environment.
Where renewal or replacement is required, SN Digital Hub may renew or configure the SSL as part of the applicable package or renewal service.
If the client chooses not to renew a required SSL service, the website may display browser security warnings or certain website functions may be affected.
5. Technical Support Included With Hosting
A client may request the available website data before the hosting service expires or the website is suspended, subject to applicable payments, technical feasibility and the nature of the website.
- WordPress Websites: For websites developed on WordPress under our standard website plans, available website files, database and other relevant website data may be provided or transferred, where technically feasible.
- SN Digital Hub Website Builder: Websites created using our proprietary or platform-based website builder are operated within our platform environment. The underlying builder platform, system files, shared components or platform source code are not included in the website service and cannot be provided or transferred.
- Custom-Coded Projects: For projects developed using custom coding or a dedicated software/platform environment, source code or platform-level files are not included by default. Where source code or a transferable custom software/platform is specifically purchased or agreed as an additional deliverable, the applicable source code or files may be provided before the website or service is suspended, subject to completion of all applicable payments and agreed terms.
Any data transfer or migration is subject to technical feasibility, third-party licensing restrictions and applicable migration or service charges, where applicable.
Once the website or hosting service has been suspended due to non-renewal, data access or transfer will be subject to the Renewal Policy and any applicable renewal requirements.
Note: Website content, files or data that can be technically separated from our proprietary systems may be provided where applicable. Our internal tools, shared platform infrastructure, proprietary builder technology and components used to operate other websites are not part of the client website data.
6. Renewal Reminder Schedule
SN Digital Hub follows a structured renewal reminder process to help clients avoid accidental expiry of their services.
Where applicable, we aim to send renewal reminders through the registered client email address according to the following schedule:
| Reminder | Approximate Timing |
|---|---|
|
First Reminder
|
30 days before expiry |
|
Second Reminder
|
15 days before expiry |
|
Third Reminder
|
7 days before expiry |
|
Final Reminder
|
1 day before expiry |
|
Expiry / Suspension Notice
|
On or after expiry, as applicable |
|
Data Deletion Warning
|
After suspension, where applicable |
|
Final Data Deletion Notice
|
On the scheduled deletion date |
These reminders are intended to provide sufficient opportunity for the client to complete the renewal.
Clients are responsible for ensuring that their registered email address and contact information remain current and accessible.
Failure to receive, read or respond to a reminder does not extend the service validity period.
7. What Happens If Hosting Is Not Renewed?
If the applicable hosting renewal is not completed by the renewal/expiry date:
Day 0: Renewal Due Date
The existing hosting service reaches its renewal/expiry date.
If the renewal payment has not been received, SN Digital Hub may suspend the hosting service according to this policy.
Day 1: Website Suspension
Where the renewal remains unpaid, the website may be suspended from the following day.
Once suspended:
The website may become inaccessible to visitors.
Website-related services hosted on the server may stop functioning.
Email services, if hosted on the same server, may also be affected.
Technical support may be limited until the hosting service is renewed.
The client is responsible for completing the renewal before or immediately after the expiry date to avoid service interruption.
8. Data Deletion After Hosting Expiry
If the hosting service remains unpaid after suspension, SN Digital Hub may proceed with data deletion according to the following process.
Approximately 3 days after suspension, SN Digital Hub will send a further notice informing the client that the website hosting has expired and that the website data may be permanently deleted if the renewal is not completed within the additional period communicated in that notice.
The client will generally be provided an additional 7-day period from the date of the data-deletion warning to complete the renewal, unless a different period is specifically communicated due to technical, contractual or operational circumstances.
During this period, the client may:
Renew the applicable hosting service; or
Request an eligible data transfer/export before deletion, subject to the conditions described in this policy.
If the applicable renewal is not completed within the communicated final period, SN Digital Hub may permanently delete the website files, databases and associated hosting data from its active hosting environment.
A final deletion notification may also be sent to the registered email address on or before the scheduled deletion date.
Important
Once the data has been permanently deleted from the applicable hosting environment, SN Digital Hub may not be able to recover or restore the website data.
Clients are therefore strongly advised to renew their hosting service on time and maintain their own independent backups where appropriate.
9. Requesting Website Data Before Expiry
10. Requesting Website Data After Suspension
If the website has already been suspended because the hosting renewal was not completed, access to the website data may be restricted.
In such circumstances, data access, export or transfer may be provided only after the applicable hosting service has been renewed and any applicable outstanding charges have been cleared, subject to technical feasibility and data availability.
This requirement exists because the website data remains stored within the hosting environment and access to that environment is dependent on the applicable hosting service.
11. Website Data Transfer to Another Hosting Provider
client may choose to move their website to another hosting provider, subject to the applicable service terms.
Where SN Digital Hub provides website data/files for migration to another server or hosting provider:
The client becomes responsible for the new hosting environment.
The client is responsible for the new hosting provider’s charges.
Domain, DNS, SSL and server configuration may need to be managed separately.
Website functionality on the new server may differ depending on the server environment.
Third-party software, plugins, themes, APIs or licences may have separate requirements.
Technical Support After Data Transfer
Once the website data has been transferred to a hosting/server environment that is not managed or controlled by SN Digital Hub, the hosting-related technical support provided under the SNDH hosting package will automatically cease unless a separate technical support/maintenance agreement is purchased.
SN Digital Hub will not be responsible for:
Server downtime
Server configuration
Hosting errors
Security issues on the third-party server
Server resource limitations
Compatibility issues
Malware or hacking occurring after transfer
Data loss caused by the new hosting provider
Website issues caused by changes made by the client or third-party provider
Any further assistance requested after migration may be treated as a separate paid technical service.
12. Domain Name Renewal
A domain name is a separate registration service from website development and hosting.
Examples include:
.com
.in
.co.in
.org
Other domain extensions
Domain registrations are generally valid for a specific registration period and require renewal to remain active.
Domain Renewal Is the Client’s Responsibility
Where SN Digital Hub manages or facilitates a client’s domain registration, we will make reasonable efforts to communicate the upcoming renewal.
However, the client remains ultimately responsible for ensuring that the domain is renewed on time and that the contact information associated with the domain remains accurate and accessible.
13. What Happens When a Domain Expires?
If a domain is not renewed before its expiry date, the domain may stop resolving.
As a result:
The website may become inaccessible;
Email addresses using that domain may stop working;
DNS-based services may stop functioning;
Other services connected to the domain may be affected.
The exact post-expiry lifecycle depends on the domain extension, registry and registrar involved.
For .IN domains, the registry provides specific post-expiry and Redemption Grace Period processes. During certain stages of this lifecycle, the domain may no longer resolve and restoration may require additional charges.
For other domain extensions, the applicable registrar and registry rules may differ.
14. Additional Charges After Domain Expiry
If a domain moves beyond its normal renewal period and enters a restoration/redemption stage, the registrar or registry may charge additional restoration/redemption fees.
These charges are separate from the normal domain renewal fee.
Any such additional charges imposed by the registrar or registry will be payable by the client if the client wishes to restore the domain.
SN Digital Hub does not control fees imposed by the relevant domain registry or registrar.
15. Domain Deletion & Loss of Domain
If the client does not renew or restore an expired domain within the applicable lifecycle:
The domain may ultimately be deleted;
The client may lose control of the domain;
The domain may subsequently become available for registration by another party.
Once a domain becomes available for public registration, SN Digital Hub cannot guarantee that the same domain will remain available or that it can be recovered for the client.
If another person or organization registers the domain after its release, SN Digital Hub will not be responsible for that registration or for any resulting loss of access to the domain.
The exact timing of release depends on the applicable registry/registrar lifecycle and domain extension.
16. Domain & Hosting Are Separate Services
Domain registration and website hosting are separate services.
Therefore:
Domain renewal ≠ Hosting renewal
and
Hosting renewal ≠ Domain renewal
A website may require both services to remain fully operational.
For example:
If hosting expires, the website data may remain stored for the applicable period but the website may be suspended.
If the domain expires, the domain may stop resolving even if the hosting account is active.
If both services expire, both the website availability and domain functionality may be affected.
Clients should therefore ensure that all applicable recurring services are renewed on time.
17. Renewal Pricing
Renewal charges may depend on:
The client’s selected website/hosting package
Hosting resources
Domain extension
Domain registrar/registry pricing
SSL requirements
Premium plugins/themes
Third-party software or services
Technical support/maintenance package
Additional resources or upgrades
Applicable taxes
The renewal price applicable to a client will be communicated through the relevant renewal invoice, quotation, payment request or other official communication.
Third-Party Price Changes
Domain registries, hosting providers, software companies and other third-party providers may change their prices, taxes, licensing terms or service conditions.
Accordingly, renewal prices may change from one renewal period to another.
SN Digital Hub will communicate the applicable renewal amount before requesting renewal payment wherever reasonably practicable.
18. No Automatic Renewal Unless Specifically Agreed
Unless specifically agreed in writing or through an applicable subscription/auto-renewal arrangement, SN Digital Hub does not treat a service as automatically renewed merely because the client has previously purchased it.
A client must complete the applicable renewal payment within the communicated renewal period to continue the service.
19. Renewal Payment & Service Continuity
A renewal will be considered confirmed only after the applicable renewal payment has been successfully received and verified.
If payment is pending, failed, reversed, disputed or not received by the applicable renewal deadline, the service may remain unpaid and may be suspended.
Clients are encouraged to complete renewal payments sufficiently before the expiry date to allow payment verification and service processing.
20. Client Responsibility for Contact Information
Clients must ensure that SN Digital Hub has a valid:
Email address
Mobile number
Business/contact person
Other required communication information
Renewal reminders and important service notifications may be sent to the contact details available in our records.
SN Digital Hub will not be responsible for a client missing a renewal deadline because:
The provided email address was incorrect;
The mailbox was inaccessible;
Emails went to spam/junk;
The client changed their contact number/email without informing SNDH;
The client did not read the reminder; or
The client otherwise failed to monitor the registered communication channel.
21. Client's Own Backup Responsibility
Although SN Digital Hub may maintain server-level backups or operational copies depending on the hosting environment, clients should maintain their own independent backup of important website content, databases, business documents and other critical information.
A hosting backup should not be considered a permanent archival service unless specifically included in the purchased package.
SN Digital Hub does not guarantee recovery of data after the applicable deletion period.
22. Technical Issues Caused by Client Changes or Third Parties
The technical support included with an SNDH hosting/service package is intended for issues within the scope of services managed by SN Digital Hub.
Additional charges may apply where an issue is caused by:
Changes made by the client or another developer
Unauthorized code changes
Third-party plugins or themes
Unlicensed software
Third-party APIs
External hosting changes
DNS changes made by another provider
Security credentials shared with unauthorized persons
Malware introduced through third-party access
Excessive resource usage
Unsupported server configurations
Such issues may require separate technical investigation or development work.
23. Service Suspension
SN Digital Hub may suspend a website or related service where reasonably necessary due to:
Non-payment of renewal charges;
Expiration of hosting/domain services;
Excessive use of allocated server resources;
Security risks;
Abuse or malicious activity;
Violation of applicable service terms; or
Other circumstances permitted under the applicable agreement.
Where appropriate, we will communicate the reason for suspension to the client.

To avoid:
Website downtime
Loss of email service
Domain expiry
Additional restoration charges
Data deletion
Loss of domain availability
clients are strongly advised to complete renewal payments before the applicable expiry date.
